Who we are
This website is operated by Freddie Bates Photography (“we”, “us”, “our”), a wedding photographer based in North East England. This policy explains what personal data we collect through this website and through the course of enquiring about or booking our photography services, why we collect it, and what rights you have over it.

What we collect, and why
Enquiries
When you send an enquiry through this site, it’s handled by Studio Ninja, our enquiry-form and studio-management provider. We collect whatever you enter into that form — typically your name, email address, phone number, wedding date, venue, and any details about your day you choose to share — to reply to you and, if you go on to book, to provide our services.
Bookings
If you book Freddie Bates Photography, we hold further details needed to plan and deliver your wedding photography: your contract, invoicing and payment records, wedding-day timeline and venue information, and the photographs themselves.
Galleries
Finished galleries are delivered through Pic-Time, a third-party gallery hosting service. Pic-Time processes your email address, to give you access to your gallery, and the images themselves, on our behalf.
Our legal basis for processing
- Contract — responding to your enquiry and delivering the services you’ve booked.
- Legitimate interests — keeping this site secure and working properly.
- Consent — Google Analytics and Meta Pixel, which only run once you’ve opted in.
- Legal obligation — keeping financial records for as long as UK tax law requires.
Who we share your data with
We don’t sell your data. We share it only with the providers who help us run this business and this website:
- Studio Ninja — enquiry forms and studio management.
- Pic-Time — gallery hosting and delivery.
- Google Ireland Limited — Google Analytics, only if you’ve consented.
- Meta Platforms Ireland Limited — Meta Pixel, only if you’ve consented.
- Our website host.
Some of these are based outside the UK, including in the US. Where that’s the case, the transfer is covered by an approved safeguard such as the UK’s International Data Transfer Addendum or the UK extension to the EU-US Data Privacy Framework.
How long we keep your data
- Enquiries that don’t lead to a booking: kept in Studio Ninja for 3 months, then deleted.
- Client records (once you’ve booked with us): kept for 2 years, so we can keep in touch — for example, sending an anniversary message.
- Analytics data: retained per Google’s own settings (Google Analytics defaults to 14 months).
Your rights
Under UK GDPR, you can ask us to:
- Tell you what personal data we hold about you, and give you a copy of it.
- Correct inaccurate data.
- Delete your data, where we’re not required to keep it.
- Restrict or object to certain processing.
- Stop any processing based on consent
Email [email protected] to use any of these. If you think we’ve mishandled your data, you can also complain to the Information Commissioner’s Office at ico.org.uk.
Security
We take reasonable technical and organisational steps to protect your data, and only work with third parties who do the same.
Changes to this policy
We’ll update this page if how we handle your data changes — the date at the top shows when it was last revised.
